Holding Space with Care and Consistency

At CBW Counseling, I want every client to feel safe, informed, and supported. These guidelines are here to protect your time, honor my schedule, and help us build a rhythm that supports healing and growth. Therapy works best when it’s consistent and predictable—this page simply outlines how we make that possible together.

Scheduling & Rescheduling

Your session time is reserved exclusively for you. Because that hour can’t be offered to another client on short notice, and I don't take on but a limited number of clients (to ensure that I have adequate time and energy for you), I ask that sessions be rescheduled rather than canceled, except in dire emergencies.
If you need to make a change, please reach out as soon as possible so we can find a new time that works. Repeated missed or late-notice cancellations may lead to discussion about readiness for ongoing therapy.

Attendance & Commitment

Therapy is most effective when attended regularly. Your weekly or biweekly appointment helps keep your progress steady and ensures your space is held on the calendar.
If you anticipate a scheduling challenge (travel, seasonal work, etc.), please talk with me so we can plan ahead and maintain your continuity of care.

Communication Between Sessions

You’re welcome to contact me by text/email/TherapyPortal for scheduling (text preferred) or brief updates.
I check messages during business hours and respond within three business days. Because therapy happens best in session, extended discussions or processing will wait until our next appointment.
If you ever find yourself in crisis, please contact 911 or the National Suicide and Crisis Lifeline at 988 rather than waiting for a response.

Fees & Payment

CBW Counseling is a self-pay practice. Payment is due at the time of your session by Visa, Mastercard, HSA/FSA, or checks.
If you need a receipt or superbill for possible reimbursement through your insurance, I’m glad to provide one.
Late cancellations or no-shows may be charged the full session fee, since the time has been reserved specifically for you.

Confidentiality & Privacy

Your privacy is deeply valued. All records are maintained in compliance with HIPAA standards.
Everything you share in session is confidential except in cases of immediate danger, suspected abuse, or when otherwise required by law. Full details are outlined in my Professional Disclosure Statement.

  • My counseling approach and philosophy

  • Client rights and responsibilities

Paperwork & Intake Process

All intake paperwork should be completed and returned at least 24 hours before your first session to confirm your appointment.
You’ll receive these forms securely through TherapyPortal.
Please complete them early so we can devote your first session fully to your goals rather than logistics.

Emergencies & Crisis Support

CBW Counseling is not an emergency service.
If you are in crisis or need immediate help, please:

  • Call 911, or

  • Go to your nearest emergency department, or

  • Contact the 988 Suicide and Crisis Lifeline (available 24/7).

Virtual & In-Person Sessions

Online sessions are available for clients located in North Carolina. Please ensure you’re in a quiet, private space during sessions and that your internet connection is stable.
For in-person appointments, the office is located at 5403 Weyerhaeuser Rd. Ayden, NC 28513. If weather or other circumstances require closure, I will contact you right away to reschedule or move the appointment to telehealth.

Thank You

By honoring these policies, you’re helping protect the sacred space therapy creates—for yourself and others.
Thank you for showing up, communicating openly, and investing in your growth. I’m grateful to walk this journey with you.
